Donation, Registration and Refund Policy
Effective Date: July 1, 2026
1. Scope
This policy applies to payments made to New Life Ministries International through our website, payment processor, office, events, or other authorized payment channels.
2. Donation Refunds
Donations made to the Society are voluntary charitable gifts made to support the Society's charitable purposes. Once accepted by the Society, a donation is considered a completed gift and is not refundable, returnable, or subject to cancellation at the request of the donor, except in exceptional circumstances as determined by the Society and as permitted by applicable law and Canada Revenue Agency requirements.
The Society has sole discretion to determine whether a donation refund is appropriate. The Society will only consider a refund where it determines that exceptional circumstances exist, which may include:
- A genuine administrative error, including an incorrect donation amount entered by the donor or a duplicate payment transaction.
- A payment made without the authorization of the account holder or donor.
- A processing error, technical error, or other circumstance where the payment does not reflect the donor's intended charitable gift.
- Circumstances where retaining the donation would be inconsistent with applicable law, the Society's charitable purposes, or the Society's obligations as a registered charity.
A donor's change of mind, financial circumstances, dissatisfaction with the Society's activities, disagreement with how charitable funds are used, or a desire to redirect a donation will not, by itself, constitute grounds for a refund.
Refund requests must be submitted in writing as soon as reasonably possible and should include sufficient information for the Society to identify and review the transaction, including the donor's name, transaction date, donation amount, receipt or transaction number (if available), and the reason for the request.
The Society will review each request individually and reserves complete discretion to approve or deny any refund request. In making its determination, the Society may consider the circumstances of the donation, whether the donation has already been applied or committed, the Society's legal obligations as a registered charity, and any applicable requirements under the Income Tax Act (Canada) or related CRA rules and regulations.
Where a refund is approved, the Society may return the funds to the original payment method where possible. The Society may deduct or withhold any amounts that cannot be recovered, including non-refundable payment processing or administrative fees. The Society will not issue a refund where doing so would compromise its obligations as a registered charity, including circumstances where returning funds would be inconsistent with the requirements governing charitable gifts under the Income Tax Act (Canada) or applicable charitable law.
3. Designated Donations
We will make reasonable efforts to use designated donations for the stated purpose.
Unless otherwise expressly agreed in writing, the Society retains ultimate authority and discretion over the use of donated funds in accordance with its charitable purposes.
Where a designated project is completed, changed, overfunded, cancelled, or no longer reasonably capable of being carried out, the Society may apply the funds to a related purpose or another area of greatest need, subject to applicable law and Canada Revenue Agency requirements.
4. Event and Program Registrations
Unless a specific event states otherwise:
- Cancellation requests received at least 14 days before the event may qualify for a refund, less any non-refundable processing fees or costs already incurred.
- Requests received fewer than 14 days before the event are generally non-refundable.
- Registrations may be transferred to another eligible participant with prior approval.
- Failure to attend an event does not qualify for a refund.
- Fees for goods, meals, materials, accommodation, transportation, or services already purchased on behalf of the participant may be non-refundable.
A different refund deadline may be stated on the registration page for a particular event or program. Where there is a conflict, the event-specific terms will apply.
5. Event Cancellation by the Society
If the Society cancels an event or program, registrants may be offered a full or partial refund, a credit toward a rescheduled event, or a transfer to another event or program.
The Society is not responsible for personal travel, accommodation, lost wages, or other expenses incurred by a participant unless expressly agreed in writing.
6. Merchandise and Physical Goods
Where the Society sells merchandise, unopened and unused items may be returned within 30 days of purchase with proof of payment, unless the item was identified as final sale.
The following are generally non-refundable:
- Custom or personalized items.
- Perishable food.
- Downloadable or digital products after delivery.
- Items damaged after delivery.
- Clearance or final-sale items.
- Items that cannot be returned for health, hygiene, or safety reasons.
Defective or incorrectly supplied items should be reported within 7 days of receipt.
7. Processing Fees
Payment-processing, administrative, registration-platform, or third-party service fees may be non-refundable to the extent that those amounts are not returned to the Society.
8. Chargebacks
Before initiating a chargeback or payment dispute, please contact us so that we have an opportunity to investigate and resolve the issue.
This does not limit any rights available under applicable law or through a card issuer.
